Return Policy.

Refunds may be considered prior to the start of your service.

Once we’ve begun working together - such as reviewing your intake form, providing communication support, or delivering your sleep plan - the service is considered in progress and is non-refundable.

However, in line with the Consumer Rights Act 2015, if the service is not delivered with reasonable care and skill, or not as agreed, you may be entitled to a fix, partial refund, or compensation.

Terms of Service.

By booking services with Counting Clouds Sleep, you agree to the terms outlined below. These are here to support a respectful, safe, and effective working relationship.

1. Services Offered

Counting Clouds Sleep offers holistic, attachment-based sleep support for children aged 0-6 years. All advice is educational in nature and while we aim for significant improvements, outcomes may vary depending on each child and family's unique circumstances.

Counting Clouds Sleep Ltd is fully insured to provide sleep consultancy services in the UK and EU.

2. Bookings & Payments

Full payment is required at the time of booking to confirm your slot.

Payments are securely processed via Stripe or an equivalent secure platform. Your card details are encrypted and never stored by Counting Clouds Sleep.

Prices are subject to change, but confirmed bookings will retain the agreed rate.

3. Cancellations & Rescheduling

You may cancel or reschedule up to 24 hours before your appointment without penalty.

Cancellations or rescheduling within 24 hours of the appointment may result in forfeiting the service despite payment.

That said, Counting Clouds Sleep completely understands that life with little ones can be unpredictable - so we always do our best to accommodate exceptional circumstances with compassion and flexibility.

If Counting Clouds Sleep needs to cancel or reschedule, we will do our best to accommodate you at your earliest convenience.

4. Refunds

5. Client Responsibilities

Please provide honest, detailed information during your intake process.

You agree to participate actively in the implementation of your sleep plan, and understand that consistency is key to achieving results.

6. My Commitment

Counting Clouds Sleep will deliver tailored, evidence-based sleep strategies with empathy, clarity, and professionalism.

Counting Clouds Sleep will maintain open communication within the hours defined in your package.

Counting Clouds Sleep will honour your parenting choices and treat all information shared with respect and confidentiality.

7. Communication Hours

Discovery calls are available Mon-Fri, 10am-6pm, with extended availability Mon until 8pm and Wed until 8:30pm.

Please note: Discovery call hours are subject to change, but any updates will be clearly communicated via the booking platform.

Ongoing WhatsApp support (where applicable) is available Mon-Fri, 10am-6pm, unless otherwise stated in your package.

Normal business hours are Mon-Fri, 10am-6pm.

8. Limitation of Liability

Counting Clouds Sleep does not offer medical advice. Any concerns regarding your child’s health or development should be addressed by your GP or healthcare provider.

By using these services, you acknowledge that all advice is educational and outcomes are not guaranteed. Counting Clouds Sleep cannot be held liable for individual results.

9. Intellectual Property

All written content, sleep plans, and materials shared are the intellectual property of Counting Clouds Sleep and may not be copied, distributed, or shared without permission.

Privacy Policy.

This policy explains how your personal information is collected, used, and protected when you engage with Counting Clouds Sleep services.

1. What Data is Collected

Personal information (name, contact details)

Family and child information (as provided in your intake form)

Any additional information shared during consultations or communications

2. Why It’s Collected

Your information is collected and used for the following reasons:

  • To personalise your sleep support and create tailored plans (lawful basis: contract)

  • To manage bookings and communicate with you effectively (lawful basis: contract & legitimate interest)

  • To meet insurance, safeguarding, and record-keeping requirements (lawful basis: legal obligation & legitimate interest)

  • To send optional updates or resources, where you’ve opted in (lawful basis: consent)

3. How Your Data is Stored

Your data is securely stored in password-protected files and/or encrypted platforms.

Client data is securely stored for up to 6 years after services have ended, in line with professional and insurance guidelines. Financial records are retained for HMRC compliance. After this period, your information will be securely deleted or anonymised.

Any health-related or sensitive information (such as medical history or developmental concerns) is treated with extra care and stored securely in compliance with GDPR requirements.

Information submitted through discovery call forms is received via email and stored securely. If we don’t go on to work together, it may be kept for a short time in case you choose to reconnect, after which it will be deleted as part of routine data housekeeping.

4. Who Has Access

Only Jocelyn (founder of Counting Clouds Sleep) has access to your data.

Your information will never be shared with third parties without your explicit consent, unless legally required.

5. Your Rights

You have the right to:

Request access to the information held about you

Ask for corrections to inaccurate data

Request deletion of your information after services are complete

6. Third-Party Tools

To deliver services smoothly and professionally, Counting Clouds Sleep uses trusted third-party tools. Your information is only ever used for its intended purpose and is never shared for marketing or external use without your explicit consent.

Payments are processed securely via Stripe. Your payment details are encrypted and not stored by Counting Clouds Sleep.

Scheduling is managed through Calendly. Your name and email address are used solely to arrange and confirm appointments.

Email Communication is used for service-related updates, sharing sleep plans, and follow-up support. Counting Clouds Sleep uses a secure, password-protected email system and never send marketing emails without your permission.

WhatsApp Business may be used for consultations and support messaging if this is your preferred method of contact. All communications are kept confidential and within agreed support hours.

Sleep plan materials may be created using platforms like Canva, Microsoft Word, PowerPoint, Notion or Powtoon. These tools are used to design, format, and personalise documents, but client data is not stored on these platforms beyond what's necessary to create your materials.

AI tools (such as writing assistants or design enhancers) may occasionally support the creation of general resources or materials. Any usage is carefully managed to avoid storing or sharing personal or sensitive information.
